Parts & inventory

Keep your parts catalog — batteries, tires, brake pads, whatever you stock — alongside the fleet it maintains. Find it under Parts & Inventory in the sidebar (administrators can switch the module on or off in Settings).

The parts list

The list shows every active part with its category, manufacturer, part number, shelf location, quantity on hand, and unit cost. Across the top you'll see totals for the current view: units on hand, parts out of stock, parts running low, and total inventory value.

  • Search by name, description, manufacturer, part number, or UPC.
  • Filter by category, manufacturer, or stock status (in stock, low, out).
  • If your business runs multiple locations, tabs across the top scope everything to one lot.
  • Archived holds parts you no longer stock — they keep their history and can be restored.

Stock levels and reorder points

Each part tracks a quantity per location, an optional reorder point, and an aisle/row/bin shelf location. When a part's quantity falls to its reorder point it counts as low stock; at zero it's out of stock — both surface in the list's totals and filters so re-ordering is a glance, not an audit.

Managing the catalog

Administrators add and edit parts (the + Add Part button, or Edit on a part's page), including photos, unit cost, measurement unit, and per-location stock. Parts are archived rather than deleted, so records that reference them stay intact.

For bigger jobs, administrators also get Bulk Manage Parts — a spreadsheet-style grid for editing many parts at once — plus CSV export and import: export the catalog, edit it in a spreadsheet, and import it back (rows match by part name; new names create parts).

Purchase orders

Parts & Inventory → Purchase Orders tracks inbound stock: draft an order with a vendor and line items, mark it ordered, then receive it in full or in parts. Receiving adds the quantities to stock automatically, and a part's page shows what's still inbound as Pending PO Qty. Orders that have received stock are history — they can't be cancelled or deleted.

The inventory ledger

Every stock change — a manual adjustment, a PO receipt, a CSV import, a work order consuming parts — writes a line in the part's Inventory Activity tab: what changed, by how much, the resulting quantity, who did it, and a link to the reference. Nothing moves without a paper trail.
