Reservations & online bookings
Book ahead by unit type — "two 4-seaters for the weekend" — and let OnLot watch the math. Find it under Reservations in the sidebar (administrators can switch the module on or off in Settings).
Making a reservation
A reservation is a type, a quantity, a date range, and a customer. As you pick dates, OnLot shows live projected availability for that type — what's on the lot, what's already reserved, what's due back — and flags an overbook before you create one. Add a deposit note if you take one, confirm, and the customer gets a confirmation email automatically.
Seeing the calendar
Availability shows two ways:
- Week grid — every type across the next seven days, color-coded by how much is left.
- Month calendar — a wider view with per-day density; click any day to zoom the week grid to it.
Pickup day
Fulfill a reservation straight from check-out: pick the unit, and the check-out screen offers the day's matching reservations so the two link up. A reservation can fulfill across multiple units (that's what quantity is for), and its detail row shows the linked rentals as they happen.
The day before a reservation starts, the customer gets a reminder email automatically — one less no-show.
No-shows
Reservations that pass their start date with nothing picked up are flagged no-show each morning. A no-show releases its held units back into the pool immediately, so a customer who never appears can't block a weekend. If they turn up late, one click reinstates the reservation. You can also mark a no-show manually once its start date arrives.
Online bookings
If your workspace runs the online booking page, customer bookings land on this same board with an Online badge — pending your confirmation in request-to-book mode, or already confirmed with a Deposit paid badge when the customer paid through Stripe. One board, whichever door the booking came in.
Bookings for an experience (a tour or lesson sold by the seat) read a little differently: the line says guests, not units — "3 guests · Sunset Tour" — and carries the session's exact time. The party's per-person breakdown (2 × Adult, 1 × Child) is frozen at booking and shows on the confirmation the customer received.
Finding things
The list searches by customer name and filters by type and location; click any reservation to expand its full detail — source, deposit, linked rentals, and which emails have gone out.
