Waivers & e-signing
Liability waivers, signed digitally, stored so they hold up later. Administrators switch the module on or off in Settings; the pieces below assume it's on.
Templates
Administrators write the waiver text under Settings → Waiver Templates. Templates are versioned: editing an active template creates a new version, and every already-signed waiver stays pinned to the exact text the customer saw. You can always answer "what did they agree to?" — word for word.
Getting a signature
Three ways, all from the customer's page or right inside check-out:
- Sign here — hand the customer your device; they read, sign with a finger, done.
- Email a link — a private signing link goes to the customer's email; they sign on their own phone.
- Copy a link — same private link, but you paste it into a text message or anything else. Links are single-use and expire on their own.

What gets stored
Every signed waiver keeps the signature, the exact template version, the timestamp, and a tamper-evident fingerprint — plus a locked PDF you can download or print. Signed waivers are never edited or deleted. If one must be invalidated (wrong customer, a test entry), an administrator voids it with a reason, and the void — like the signature — lands in the audit trail.
How long a signature lasts
Under Settings → Rentals, pick what "covered" means:
- Valid for N days — the signature expires after a window you choose; expirations show wherever the waiver appears.
- One per rental — every check-out needs a fresh signature.
- Forever — signed once, valid until voided.
The same settings card decides what happens at check-out when coverage is missing: warn the staff member, or block the check-out until the customer signs (the signing options above are offered right in the flow).
The signature book
The Waivers page (under Customers in the sidebar) is the whole book in one place: every signed waiver with its live status — valid, expired, used, or voided — searchable, filterable, with one-click PDFs. The customers board also has a Waiver Signed column, sortable for renewal outreach. More in Daily operations.
