Preventive maintenance: service programs & recalls

Fix things on a schedule instead of on the side of the road. Both features live under the Service and Issues modules (administrators switch modules on or off in Settings).

Service programs

A service program is a maintenance schedule attached to a unit type: every 4-seater gets a brake check every 6 months, a battery service every 500 miles — each line a task from your service task catalog with a time interval, a meter interval, or both.

OnLot computes due-ness live from each unit's actual history:

  • The clock for each task starts at the unit's last completed work order containing that task — or, for work never yet done, from when the unit (or the program line) was added, so new units get a full interval before anything nags.
  • Meter intervals read the unit's meter history; log readings and the math follows.
  • A task shows due soon as it approaches its interval and overdue past it — on the Service Programs page, grouped by unit.

When a unit has work due, one click creates a work order pre-filled with every due task for that unit. Complete the work order and all those clocks reset — no separate bookkeeping.

Programs are administrator-managed; retiring one archives it, history intact.

Factory recalls

OnLot checks your fleet against the U.S. government's (NHTSA) recall database automatically — every night, per make, model, and year — and administrators can run Check now on demand. Give your units make/model/year (the admin form can fill these from a VIN lookup) and matching is exact.

When a campaign matches:

  • Everyone with maintenance duties gets a bell notification the moment a new recall is found.
  • Affected units show a red open recall banner on their page, with the campaign summary and remedy.
  • Work it like anything else: acknowledge the recall, then resolve it — or hand it straight to a work order with the manufacturer's remedy pre-filled.

Recall records are never deleted; a resolved recall stays on the unit's history like the repair it produced.
