Service & work orders

Work orders are how maintenance gets done and recorded: the labor, the parts, and the problems they fix, all on one page. Find them under Service in the sidebar (administrators can switch the module on or off in Settings).

Opening a work order

From Service → Work Orders, create one against a unit — optionally with an assignee, a scheduled date, and a description. Work orders are numbered (WO-1, WO-2, …) and assigning one rings that person's notification bell. Everything else happens on the work order's page:

  • Tasks & labor — add lines from the reusable task catalog ("Oil change", "Brake pads") or free-type a label, each with a labor cost. Administrators maintain the catalog under Service → Service Tasks; renaming a task never rewrites past work orders.
  • Parts — pick from your parts inventory; the picker shows live stock counts, and costs are captured at the moment you add them.
  • Issues — open issues on that unit are offered for one-click attach, so the work order carries the problems it exists to fix.

Completing (or cancelling)

Complete is the payoff, and it does three things at once:

  1. Deducts the parts from stock — the movement appears in each part's inventory ledger, linked back to the work order.
  2. Resolves every attached issue with a "Fixed on work order" note — and if an issue came from a failed inspection item, that failure clears too.
  3. Freezes the order with who finished it, when, and the labor + parts total.

If there isn't enough stock for a part on the order, completion is blocked with a clear message — fix the quantity or receive stock first. Cancel instead releases any attached issues back to the open pool; cancelled orders freeze too.

Service history

Service (the section's front page) lists every completed work order — filterable per unit, with total spend. It's the maintenance record: what was done, by whom, what it cost.

Service programs: scheduled maintenance

Service → Service Programs turns maintenance from reactive into scheduled. A program is a reusable checklist with intervals — "Tire rotation every 6 months, battery service every 500 hours" — applied to whole unit types, so every unit of the type inherits the schedule automatically.

Each line can have a time interval, a meter interval, or both — the unit comes due at whichever arrives first. Meter intervals use the readings you log under Meter History.

The Due for Service board at the top of the page computes itself: it watches your completed work orders, so finishing a work order that includes a program task resets that task's clock automatically — there's nothing to check off. Units show up as Due soon at 90% of an interval and Overdue past it, and one click creates a work order prefilled with everything due on that unit.

New units (and newly created programs) get a full interval before anything comes due — the schedule starts counting from whichever is newer.

Programs are defined by admins; anyone can see the board, and anyone with shop access can create the work orders.
